Bidding and the Bidding Module

Project Managers, and others who start and administer bids, use both the (04.00) MIT Bidding Process and the e-Builder Bidding Module to begin and manage bids. The Bidding process adds workflow for approvals to parts of the Bidding process while the Bidding module supports the release, viewing and submission of bids by contractors/vendors.

The 04.00 Bidding Process is documented here.

MIT uses a process to mange workflow and approvals

Bidding processes are documented in the processes section of this site. Please continue reading here this page to learn more about the Bidding module, a standard component of e-Builder.

The Bidding module helps manage the processes that users go through to purchase goods and services associated with the development and construction of capital projects by facilitating the exchange of documents, drawings and communications that are part of the bidding process using e-Builders web-based application.

MIT Facilities should benefit from the use of this module due to:

  • Improved bid coverage which leads to more competitive pricing
  • More efficient communication with automatic message and status tracking
  • Cost reduction through less use of shipping, printed materials etc
  • Easier access to historical data to improve future projects

Bidders have access to the Bidding module when invited to participate in a bid. They can view or download all of the required information and communicate with the bid manager using the e-Builder system.

Key Concepts

Projects

A project is a planned set of interrelated tasks to be completed within a certain period of time and within certain cost or other limitations.

In e-Builder, projects refer to the projects for which you are identified as a participant. Each "real world" project is associated with a project in e-Builder. If you are working on the "real world" version of the project you can be added to the project in e-Builder.

Contact

In order to invite a bidder to a project the bidder must be created as a contact in e-Builder. Each invited contact must have a fax and/or email address.

A contact is different than a standard e-Builder user. An e-Builder user is someone that has been added to the e-Builder system as a participant on one or more projects.  A contact is has a record containing contact information and is associated with an e-Builder Company. These contacts do not have access to all of the information about a project; only the project bid information that the contact is invited to. For every contact that is invited to bid there will be a historical record of their participation in the contact details.

Company

Each e-Builder contact is associated with an e-Builder company. There can be more than one contact associated with a company, but only one company can be associated with a contact. Each contact can be an invited bidder and there can be more than one contact associated with a company that has been invited to bid. For every contact associated with a company that is invited to bid on a project there will be a historical record of their participation in the company details.

Adding a Company/Contact

Process 01.01 Add New Company/Contact (NCOMP) can be used to request that a new company and/or contact be added to the MIT e-builder System.

Bidding Process (Should be modified to start with assemble bid package and go through award bid, make specific to MIT Facilities)

There are usually three steps in the Bidding process. (this according to the standard e-B doc)
