Choosing among multiple records

If the search yields multiple records that appear to match the item in hand, the cataloger will have to choose the closest match.

The following records are not duplicates:

• Records for different editions, imprints and physical forms
• Records for parts vs. a record for the whole
• Records for the same title but in different languages, e.g. a National Library of Canada record for an item in French and a record in English for the same item

If you find true duplicate records, choose the one with the best or fullest information and cut and paste from the other record using judgment. Other things to consider when choosing between duplicate records:

• Which of the records have the most holdings
• Which of the records was contributed to OCLC first
• Which of the records most closely matches MIT cataloging standards

Deciding to search further

If no record or unacceptable copy is found, the cataloger should try a different search, as sometimes the first search is incomplete or includes elements that are not in the record.
