Publicity Managing Overview

 The publicity manager is the liaison between the publicity designer and the directorial staff. It is important that the pub designs are received promptly and accurately represent the show and MTG. Below you will find an example publicity schedule with instructions on how to execute each task.


Example Publicity Schedule: Legally Blonde (Fall 2014)

Here is everything you need to know (and some things you don’t need to know) about publicity for Legally Blonde. Created by Chamille Lescott (clescott@mit.edu).

Show dates: November 14-15th & 20-22nd at 8 PM and November 16th at 2PM

Event Registration (10/6)

Reserving Drop poster space (10/10)

  • Contact the MTG president for more information
  • The drop poser is typically 3ft x 10ft (width by height) and is hung in the student center
  • Please note that the drop poster space is free but MTG can be fined if we do not use the space or do not remove our poster promptly
  • IMPORTANT: Make sure you have a way to print the drop poster before reserving space

Final Poster Design (10/27)

  • Dimensions: 11in X 17in
  • See the end of the document for information about poster content
  • Encourage your designer to provide sketches or a design concept early, so you can discuss the design ideas with the director. The concept deadline is typically 3-4 weeks before the final poster design deadline
  • Designs must be approved by dir-staff and exec before printing. Email the final design to legally-dir@mit.edu and mtg-exec@mit.edu and then send the file to CopyTech for printing

Poster Printing (11/3 for the latest)

  • Contact June Milligan at CopyTech (jmillign@mit.edu)
  • Standard deal with CopyTech: They get and ad in our program in exchange for 200 posters
    • Contact June and say you are from MTG and are hoping to print posters for the show. In exchange you will include a CopyTech ad in the program

Facebook Cover Photo (11/1)

  • The designer is responsible for making a cover photo for the MTG facebook page
  • Once you have this photo you can make a FB event
  • Send an email to everyone involved in the production and encourage them to update their cover photo.
  • Post/share our event on different MIT groups such as Events & Parties (https://www.facebook.com/groups/MITEventsAndParties/)

Drop Poster Printing (11/7)

  • IMPORTANT:

Drop poster printing is show dependent. Large format printing is typically very expensive. Past publicity managers have printed drop posters by begging friends in the architecture department to print them. Shakespeare Ensemble also has access to a printer but they may be unable to print a 3ft x 10ft poster and will probably charge MTG for paper, ink, etc.

T-Shirt Ordering Information (10/22)

  • Email out to legally-all@mit.edu and set up a google doc so people can tell you the t-shirt size they need and the number of t-shirts they would like to order
  • Typically T-shirts are $12-$15
  • Always add a few medium and a few small shirts to the final order for the people that forgot to fill out the form but still want a shirt

T-shirt Design Due (10/27)

  • Design T-shirt on QRST (http://www.qrsts.com)
  • Try to place the order as soon as possible
  • Contact QRST once order is placed and work out payment information and pick-up time. (They will deliver to the student center)
    • IMPORTANT: It is ideal to pay for the T-shirts immediately after placing the order. Contact the MTG president and ask them to add the necessary money to the purchasing card, then pass along the card information to QRST
  • The treasurer can also process the invoice QRST provides you. However, this typically delays the payment process

Press Releases (round I: 11/3 round II: 11/10 round III: 11/17)

Program ads:

  • MTG typically has ad space in the Shakespeare Ensemble and Dramashop programs
  • Ads are in black and white
  • 5.5"x”4.25”, are width by height.
  • Make sure a title graphic, show dates, and the MTG website are included

Program Cover (11/7)

  • 4.5" x 7.5" at 300 dpi.
  • Black & White image
  • Send to program designer

Email Spam Week 1

  • 11/7
  • 11/ 12
  • 11/14 (morning)
