This page outlines the MIT Student Data Base called Grade 20


Grade 20

  • GRADE 20 s MIT's student database.  Slate (and GradApply) and Grade 20 "talk" to one another, and so when a student submits an application, a record is made for them in Grade20.  
  •  Heather LeFebvre is the OGE's Graduate Admissions Coordinator, and is your best resource for Grade 20 questions.
  • Previously one had to log into Grade20 and indicate under "Actions" the individuals admitted and waitlisted. This is now automated via Slate.

Once the information is in Grade 20, that triggers communiction from MIT to the admitted student. If a student is not getting the communications, check Grade 20 to make sure their acceptance is recorded.

Searching students in Grade 20

  1. Search for an applicant's name.

    1. Their file will automatically open if they're the only one on campus with that name.

    2. If more than one person has the same first/last name, you will be able to choose from a list.  It is always the individual whose birth date you can view.

  2. Slate  'talks' to Grade20, so you don't have to input any, personal information, it has already been pulled from their application.

  3. Select "Action"  (This it no longer required. Steps 3-9 should be automated)

    1. You will be able to see all departments/programs the individual has ever applied to at MIT

    2. You will only be able to edit the program/department you have administrator access to - "RED"

  4. Select the "RED" line and you will see in the bottom-half of the screen the ability to input "Department Decisions" and "Applicant Reply".  

  5.  Complete the "Code" "Degree" "Registrar Course" and "Code" sections once admissions decisions have been sent out.
    1. The "Official Code" box must always say "Y", or the changes won't save.  I don't know why.  It's just how it is.  

  6.  Once applicants have accepted or declined our offer and/or decisions have been made about admitting/rejecting from the waitlist:
    1. Applicants have accepted or declined:

      1. Complete the "Applicant reply" section using the "Code" and "Source" menus.  You only use the "Reason" boxes if the student declines.

  7. Select "Save"

  8. You will be prompted to be sure you've made the right decision.

    1. Be super sure.

    1. Select "Ok"

      Changes saved, you can move on to the next person.  

Searching Test Scores in Grade 20

As part of admissions, you may need/want to search for exam data (TOEFL, IELTS, GRE only; GMAT is through a different system.)
(Offical scores should be auto imported into Slate but you can still search here if necessary)

  1. Click on the binoculars image

  2. Enter student last name, first name, DOB, and the exam you're looking to pull information for.

  3. Select "Search"

This system updates once per day, so if you don't see someone's scores, check the next day/day after.
