ISDA Exchange Migration Information

What can IS&T do in advance to prepare for the migration?

The Exchange transition checklist is a compilation of what to expect out of the migration.  IS&T recommends reviewing this checklist to set expectations on what is and not migrated during the process, and what will need to be recreated and/or manually re-configured: http://web.mit.edu/ist/topics/email/exchange/checklist.html

What can IS&T expect to happen after the migration has been scheduled?

One week before the scheduled migration a confirming email will be sent to you or your designated representative to confirm the email and/or calendar migration date to include preparation information.

The Day of migration:
    *  The project manager will coordinate with team to schedule migration, provide kerberos principles (usernames) for the DLC.
    *  a confirmation email including date and time to be sent to you and team

During the migration
    * user account(s) will be split for five business days (this is only a precautionary measure to ensure data migration success)
    * users are able to check email using the current email service (IMAP)
    * email (IMAP) data will be migrated first, followed by techtime data (if applicable)

After the migration
    * logon to the Webclient, Outlook Web Access (OWA) <http://owa.mit.edu/> and confirm success of email and calendar data migration
    * an email will be sent to the departmental contact or designate representative confirming the migration was completed
    * if arrangements have been made in advance, the transition team will be on-site to assist the day after migration
    * after five business days and upon departmental confirmation that all users data was migrated and customer satisfied, the accounts will be unsplit
    * continue to use Tech Time until all of IS&T migrations have been complete (July 31st)
    * at that point all IS&T business will be scheduled on Exchange calendar and staff who wish to continue utilizing Tech Time will need to maintain both calendars

How can I see a demonstration?

IS&T is offering Training Sessions - no need to sign up, just show up!  ISDA has the opportunity to attend training prior to migration, so take advantage.
Windows users should attend Outlook training, Mac users Entourage training.  Below is the most current schedule.

ISDA Migration Assessment

The following information must be completed by Wednesday, July 15th. 

Please fill out the attached assessment and email to pshepp@mit.edu no later than Wednesday, July 15th at noon. deptindivassessment.doc

This information will be used by the Exchange Transition Team to:    

    *  assess client needs: (desktop, web, mobile devices, which OS, on-campus, off-campus, public or roaming desktop/laptops, wired/wireless)
    *  identify current and target email clients to be used
    *  discuss training needs (before or after the transition)
    *  obtain users kerberos principles
    *  determine number of users and split/ratio of each OS
    *  if Techtime users, the whole department needs to transition together.
    *  determine if calendar resources (departmental conf rooms) need to be created with list of designates
    *  discuss next day on-site assistance
