Squares Setup
Tech Squares Weekly Job

Description

Responsible for bringing all the needed club equipment down from the locker and seeing that it is set up.

When

7:30pm or earlier on Tuesdays, or at least 30 minutes before any event begins

What you need

• Knowledge of which room we are dancing in this week (see http://www.mit.edu/~tech-squares/schedules/
weekly.html)

• Location of Small Activities Office (4th floor in corner near pottery studio), and of our locker in the SAO.

• An MIT ID prox card with access to the SAO, or someone you can borrow a card from.  (You can borrow the one in the briefcase the week before if you remember.)

• Locker key.  (You can borrow the one in the briefcase the week before if you remember.)

• Knowledge of whether the club calling equipment is needed (ask Jobs Coordinator or an officer)

Responsibilities

• The following should be brought down from the locker: briefcase, cups, hand sanitizer, any snacks left over
from last week; if we're dancing in Sala, then bring the water cooler -- if not, then the cooler might still be
helpful for carrying cups, snacks, etc.

• If the club’s calling equipment is needed, also include: speaker, extension cord reel, cables (power cord and
speaker wires)

• The water cooler must be filled (if using). It is filled in the utility closet located inside the handicap bathroom.
This is usually a two-person task; just ask someone to help you carry the full cooler.

• The gate table should be set up by the door. If the gate person isn't yet ready to do gate, put the briefcase (or at
least the cash box) under the caller's table. Never leave the cash box on the gate table unattended.

• Locker key and card should be returned to the briefcase or given to the next week's setup volunteer.

Notes

• Please ask for help. If you stop by the dance hall before going up to the locker, you can often get a volunteer or two to help carry things down. Also many of the people who are there early know how to fill the water cooler. Try to get a volunteer for this.

Here’s what to do if the room not set for dancing when you arrive: Call 617-253-1500 and ask for the CAC Night Manager. When you reach the night manager, say you are with Tech Squares and mention which room we have reserved. Politely explain the problem or what’s missing. We generally want a stage with one 6-foot folding table on it, and it should be set up on one end of the hall. If we are not in Lobdell, we also need two other folding tables — one for gate and the other for refreshments (in Lobdell, we use the existing tables for these purposes). For the tables and chairs in Lobdell, you can explain that we asked for them to be cleared in our room reservation. After understanding the situation, the night manager will likely say someone is on his way. Please remember to thank the night manager for the help!
