Select the appropriate local access restriction type(s) at the applicable levels of description. Multiple restriction types can be selected if more than one type applies. Hold down CTRL (Windows) / Command (Mac) to select multiple options or deselect an option.

Conservation assistance required

Use in situations where conservation assistance is necessary to provide access to collections materials, e.g. moldy collections that need to be viewed in the fume hood. Do not use this access restriction type for materials that have been treated by conservation and are stable for use, or for materials with conservation issues that do not require mediation, e.g. brittle paper. Conservation issues that should be noted but do not require mediation can be added to the Physical Characteristics and Technical Requirements note

Donor imposed access restriction

Use in situations where the donor has specified restrictions on an entire collection or portions of a collection in their deed of gift, e.g. if a collection is closed until their death.

Exhibit loan

Use in situations where the content is unavailable due to being on exhibit or loaned out.

Federal or state access restrictions

Use in situations where collection materials are restricted due to federal or state laws such as FERPA, HIPAA, and MA 201 CMR §17, e.g. student information. This restriction type can also be used to indicate attorney-client or attorney work product restrictions on legal records.

Institute records access restriction

Use in situations where there is a restriction imposed for a specific type of Institute records according to MIT policy, e.g. 50-year restriction on records of the Corporation.

Partial restriction

Use in situations where a portion of an archival object is restricted. This may be that only some of folders in the file are restricted, or that restricted materials were separated for access. Do not use at the series or collection level.

Reformatting required

Use for media that needs to be reformatted, e.g., video tapes, floppy disks, etc.

Reprocessing in progress

Use in situations where a collection is being reprocessed to indicate that the collection is temporarily unavailable.

Review required

Use in situations where the collection or content has not been assessed for access restrictions or the access of the content is unknown.
