DRS continues to participate in and act as a hub for data issues in support of various Institute/Enterprise projects. Major projects for DRS are RAFT (MITBI – Reporting & Forecasting Tool), the MIT and AAUDE Data Warehouses, Managed Data Services, MITID Database, Roles/perMIT and Reporting & Consulting Services.  A key member of our team, Jim Repa has reduced his schedule to 40 percent time through the end of June at which time he will officially retire.

RAFT (MITBI – Reporting & Forecasting Tool)

DRS has been working closely with representatives from 16 Departments, Labs and Centers and other groups across IS&T (CSS: Usability & Accessibility and Documentation & Training, and OIS: Server Operations and Database Services). Full community rollout occurred in January.  Between January and March we trained and granted access to approximately 160 users.  Phase II requirements review with the steering committee, Eric Kim (Designer) and the focus groups occurred in February and March.  Prioritization of requirements will occur in April. Sprint 0 of phase II will rollout to the community in April.  Sprint 0 includes COEUS Proposal Budgets and minor enhancements.

DW Reporting Tools Project

This project was started this quarter.  Our sponsor is Doreen Morris. We have established a steering committee of eleven people representative the MIT Community.  To date we have created a RPF based on information gathered via a survey and focus groups held throughout the summer and fall. The RFP has been sent to 4 vendors (IBM, SAP, Oracle, and JasperSoft).  The vendors have responded and the steering committee has scored their responses.  Based on the scoring IBM. SAP and Oracle will be invited in to give a demo of their product.  This demo will consist of hands-on lab time.  The steering committee has created scenarios will be sent to the vendors for use in their demos.

MIT Data Warehouse

The Data Warehouse team has made many changes in support of the enterprise systems during Q3.

In support of Financial and HR data work includes modifications to Appointment data to add WORK dates (appointments, Appt transactions) for Appointment History Reporting, incorporating payment data into FINANCIAL_DETAIL, building a separate model (star) for Accounts Payable ACH Payments and adding new data for OSP in support of ARRA.

In support of Student systems work includes cleaning of Library data to help integrate textbooks with ISBN.com and the TIP project, completing changes to the CIS_COURSE_CATALOG table (and the load process) for the HASS New Requirements Project (managed by Zahida Taher, SSIT) and working with the Registrar’s Office to develop a process to feed student degree data to National Student Clearinghouse for the Degree Verify project.

Managed Data Services

MDS- Abandoned Property. Completed part 1: design development and implementation of MDS system for BATCH processing, batch load and refresh  for both SAP and NO-SAP transactions. Multi step process for data cleaning, parsing, loading, and building an needed structures in DW to support the design. Began work on Part 2: Back end development for manual data manipulation through Access Front end triggers, procedures, data manipulation through DB links, etc. Creating a simple Microsoft Access Front End.

MDS-OME Phase II. Began the back-end database development work on OME Phase II with DCAD -- there are 4 deliverables in this phase, they will continue through the next quarter.

Roles /perMIT

8,200 authorizations added
72 Funds Centers added
2 Roles UI Individual trainings
3 Department Reorganizations completed

Due to the pending retirement of Jim Repa we have sent most of our time on knowledge transfer. Elena Zhitnikov with be taking over the Lead role for the business end of Roles Database,

Roles Database and perMIT project: Put into production the web-based script for maintaining Functions in the Roles Database, along with minor enhancements and bug fixes.  Assisted with planning for new applications that will use the Roles Database, i.e., the Math Department Blogs project and the Online Grading project.

Assisted with porting of data feed programs, CGI scripts web services, and stored procedures.  This quarter, most of the work has been done to port the stored procedures used by web services.  Several additional CGI scripts and data feed programs have been ported, and we've resolved bugs and performance problems in several of the scripts and data feeds previously ported.

Master Department Hierarchy and Roles Database: Synchronized the DEPT hierarchies in the Roles Database and Master Department Hierarchy, and put a data feed program into production to feed department information and links to financial/HR/
academic objects from the MDH to the Roles Database.  This will eliminate the
need for dual maintenance of Department data by allowing the Central Authorizer to just do maintenance in the MDH; changes will automatically be moved into
the Roles Database by a nightly data feed program.

Reporting & Consulting Services

During Q3 we worked with the Assistant Deans to solidify, debug and test the Faculty Hiring Report. This has required changes to warehouse tables and views.  This work is in progress.  We have continued to provide general user support and training as requested by the departments. labs and centers.
