Most analog content is provided through the reading room using the Reference team's procedures.
Delivery of digital material to users is often handled by the reference team but it often needs to be made available by the processing team first. Before undertaking any of these access methods, you must first create access copies. See the Digital Access Storage section for those procedures.
Getting the files needed to provide access
Once you have digital access copies, you will need to access those files to share them:
- Follow the steps for accessing CDPS s3 storage via Cyberduck
- Once you have done those steps, find the digital instance attached to the item(s) you are looking to share and note the indicator, for example:
2024_029RR_001-b01637fa-e4de-45e1-9a39-2ed9d5908561
- Copy everything after the first dash (this is the package's UUID). In the example above, it is:
b01637fa-e4de-45e1-9a39-2ed9d5908561
- Click into the dissemination bucket bookmark in Cyberduck
- Follow the steps in the ITS Cyberduck documentation for searching s3, use the UUID you copied above as your search query
- You will need to expand the nested folders until you get to the
objects
directory, which should have the all of the files. If you are looking for a specific digitized file, you can find it in that folder based on current or previous file naming schemes.
Methods for providing access
With your own access to the files, digital content may be delivered in a few ways depending on the situation:
- Online access in Dome
- Temporary online access for reference requests
- Digital access in the reading room
