Community of Practice Wiki Demo and Feedback

William McAvinney, Karon McCollin and Kevin Mullins used our project life cycle at a glance document to create the navigation in the wiki. They looked at why we do it and what the steps are.  You can click on a link and download the template(s).  We will have a link to an example of a completed template.  It will tell you why and the how.  They will also be able to download a blank template.

There is a Stakeholders Profile – Example and a Key business Stakeholders template.  The idea is for us to give them some flexibility.  Each section will have two examples each. 
Lori Singer:  We should have a section at the top that states, “There are multiples examples.”

Stakeholders Profile for this type of project, etc.

We should state, “For this project, you need to do two exercises…..”

There should be an introduction and then a link to an example.

Joanne Stevenson:  It would be helpful to have an example you can download.
Marco Gomes:  Can you view an example and then click on download for template or download example? 

They should be able to visually display multiple examples and you should be able to decide if you want to download it.

Karon McCollin:  It should have a blank template and an example.

Do you want to be able to go to the example page and download from there some links to the template?

Patricia Sheppard:  You should be able to navigate and see example first and then go back a page to download the template(s).  We would like to have a few different options for downloading the template.

Plan and Initiative – Do we want to tweak it more?

Under Plan and Initiative, you show three things you do and then you show two documents you create.

Ongoing Project Management (these are things you use throughout your project - ongoing stuff).

Lori Singer:  Move budget down to Ongoing Project Management stuff.  We have to be careful of what people can view in the budget.

Maybe we should take the project budget out?

No, but instead we should link it to the Finance link which is more confidential.

Lori Singer:  Leave a blank example and take out columns for money.  Write a note stating, “Take this blank document and work with your FBC to complete it.”

We would eventually like this tool available to other MIT Groups, e.g. Facilities and Sloan.
William McAvinney:  The budget belongs in the ongoing section.

Project Cost Template:  Patricia Sheppard will talk with Finance about whether we should have the budget template in the CoP wiki or just link to the Finance wiki.

Joanne Stevenson:  We are putting the scope in two different places.

Marco Gomes:  Scope and scope sign-off (are two different things) should be listed under the Requirements Section. 

Or we could list, finalize scope and get sign-off.

Karon McCollin:  Are we doing a template and an example on every page?

William McAvinney:  They should be able to go to “Tools” and then download it as a word document.

Patricia Sheppard:  Let’s focus on what is good enough now and then we will get feedback from people and we can work on it again after that.

William McAvinney:  Which do people prefer?

Some people may want to just view it and some people will want to use it as their starting point.

Marco Gomes:  We could include - Here is a filled out version that you can edit and you use for your own project.

Karon McCollin:  I want to just view it, before I decide to download it.

Wendy Bastos:  We can ask the folks using it, do you like downloadable vs. seeing it on the screen?

Karon McCollin:  We can use my HR Focus Group to gather some feedback.

Patricia Sheppard:  I want to encourage everyone on the PMBA Committee to review the email Steve Filipiak sent today (10/3/11).  Subject of the email:  ACTION REQUESTED: Feedback on potential course offerings.  Please email your feedback to Steve Filipiak. 

Lori Singer:  During the meeting with Steve Filipiak last week (9/27/11), we came up with some good ideas for training.  However, the courses that Steve emailed to us today were very project manager based.  What about the other types of training we had recommended?

Patricia Sheppard:  That is because PM Solutions is not the vendor to provide the other types of training that we recommended.

Lori Singer:  Can we offer the other training first?

Patricia Sheppard:  We can suggest that – its great feedback.  I will forward via email a list we submitted to Steve Filipiak and a copy of the grid he handed out last week.  We really want to support and help HR with this.  We will continue this conversation next week.  We need to submit the information to Steve by next Tuesday (10/11/11).

The Senior Staff want the Associate Directors to work more closely with the projects and they want to be escalating things.

Wendy Bastos:  That is how Marilyn Smith will get her information on the projects – via the Associate Directors’ quick write-ups.

Senior Staff wants us to still have snap shots in Daptiv to mark progress against the operational plan.

Lori Singer:  We need to have the Project Update in Daptiv, so could we get a monthly reminder via email? (Pat will look into this)

Patricia Sheppard:  We need to be thinking about how do we want to roll the CoP wiki out…  Roll it out via an email, on the scrolling screens and word of mouth?  Or big bang?  As our approach to project management starts to change and a new vision take shape, we need to be flexible.  The soft touch may be more appropriate through the end of the calendar year.  Pat will follow up with Rita once we finalize our roll out plan.

Target date is November 17th to have the wiki production ready
