245 Correct/ titles, subtitles, and statements of responsibility as necessary. Add the medium (GMD) if necessary, including brackets.

246 Correct/add if necessary. Do not convert existing 740 X1s to 246s.

260 $a: verify/edit. $b: verify/ ignore variations in form. $c: verify.

300 $a: verify/correct. $b: if on copy, accept as described. If item has easily ascertainable illustrations not indicated on copy, add. $c: If item and size notation look compatible, accept. Add if missing. $e: verify; add.

500 Unless specified below, accept order and wording as on record, unless inaccurate or misleading. For AACR2 records, if source not given for quoted notes, don’t add. If using contributed copy, delete other libraries’ copy specific notes. Delete rare books notes, e.g. binding info. Add notes as necessary to justify additional added entries. If information that should be in a 502, 504, 505, or 533 field appears on copy as a 500 note, correct tag.

502 Add if necessary.

505 Accept; for multi-volume sets, accept existing contents and add additional contents based only on volumes in hand.

Access Points

Call number (090)
Always check against subjects using Barton, LC authority file, ClassWeb, LCSH, and schedules as needed. If base call number is present and makes sense for the item in hand, check cutter against MIT call number index and LC cutter table (in that order). Adjust cutter to fit into MIT index. If MIT index lacks a clear pattern, prefer LC cutter table, otherwise, prefer index.

Subjects---Topical and geographic (650/651) Verify form; do not verify subdivisions:
1. Check Barton subject index. If match, accept.
2. If no match, check LC NAF. Accept established heading. If no match, delete field from record.

Subjects---Names and uniform titles (600/610/611/630) Verify form and author/title subfields:
1. Check LC NAF. If match, accept.
2. Check appropriate Barton indexes. If no conflict, accept. If possible conflict exists, investigate and establish name based on MIT catalog. Do not verify subdivisions.

Personal names (100/600/700) Verify choice and form of entry. Verify form by comparing entry from on-line record and the form in which it appears on chief sources of piece in hand.

2.Check Barton author index. If no conflict, accept. If possible conflict, investigate and establish name based on MIT catalog.

Corporate bodies (110/610/710) Verify choice and form of entry. Verify form by comparing entry from on-line record and the form in which it appears on chief sources of piece in hand.

2. Check Barton author index. If no conflict, accept. If possible conflict, investigate and establish name based on MIT catalog. If entry is for meeting name, follow guidelines for conferences (111/711).

Conferences (111/711) Examine t.p.; verify choice of main entry. Verify form. If item is for Engineering or Science: Check entry in Barton. If match found, use Barton call number with adjusted date. If no match found, use judgment to determine whether conference is ongoing/numbered. If ongoing, check LC NAF for alternate forms of name; re-check Barton as appropriate. If match found on alternate form, use Barton call number with adjusted date. If no match found on alternate form, or if name not in LC NAF, establish conference name according to AACR2 and LCRIs. Accept or edit call number following instructions for 090 CONT, adjusting date if necessary.

For other locations: check LC NAF for form of name. If not in LC NAF, check Barton for match. If no match found, establish conference name according to AACR2R and LCRIs. Accept or edit call number following instructions for 090 CONT, adjusting date if necessary.

Uniform titles
130 Check Barton for entry and call number (if appropriate). Check LC NAF if necessary.
100-240 Accept if verifiable; if not, delete 240.
700 Author-title added entry: Accept if verifiable; if not, delete.
730 Verify:
1. Check Barton. If match, accept.
2. If no match, check LC NAF or OLUC.

Series: do not use; see interim procedure below

Series---unnumbered (4XX/8XX) Verify against the piece; if match, check Barton or OCLC authority file. If found, use established heading in appropriate 4XX/8XX fields. If not found, establish and transcribe in appropriate 4XX/8XX field(s).

Series---numbered (4XX/8XX) Verify against the piece; if match, check Barton catalog. If found, follow call number practice and form of numbering. If not found, check OCLC authority file. If found, use established heading in appropriate 4XX/8XX field(s). If not found, established and transcribe to appropriate 4XX/8XX field(s).
Series interim procedures---not yet finalized (Oct. 2006)

Series---uunumbered (4XX/8XX)
Check series statement in 4xx fields against the piece. The 4xx should match the piece.

If there is a series statement that is not on the copy, transcribe as the statement as is on the piece in a 490 0 (provided that you have reason to conclude that your copy is a match)

If your copy has a 490 1 & 830, and the 490 DOES NOT MATCH the piece (meaning, it is incorrect),
• Correct the series area to match the piece as a 490 0
• Delete the 830

Series---numbered (4XX/8XX) Same procedure as above for 4xx $a, with the addition of:
To find out if you have a classed together series, search authority file in Aleph. If found, follow call number practice. You’re not looking at the form of heading in the authority record, just the class decision.

We will not be creating any new classed together series.
