Print IEEExplore titles are checked in on a SERM record by Serials staff and placed on the Wall by Jane or PJ. Cataloging treatment of the print titles depends on the title of the publication as found on the Serials checkin slip inserted in the item. Items checked in on a record for a specific conference, or checked in on a record titled “Conference publications” are done by MCU catalogers. Items checked in on the record titled “Seminar digest” are done by Macee.

Conference publications

These are handled by various catalogers as they find them in the work supply. They are cataloged using OCLC copy. MIT-specific data is added using the “ielx” constant data record as below, accessible within the MYG account by choosing Cataloging → Search → Online Constant Data from the Connexion menu.

Seminar digests (also known as Colloquia or Conference proceedings)

These are given directly to Macee by catalogers who find them in their work supply. Macee catalogs them using a separate OCLC authorization number for the holdings symbol E9X, which stands for IEEE Explore Print Version. MIT and the University of California at San Diego are participating in this joint project to create a record set of titles included in the IEE Colloquium series.

Macee catalogs the items within the E9X account, overlaying the copy with the “iee” constant data record as below, accessible from within the E9X account by choosing Cataloging → Search → Online Constant Data.

Asterisks are overtyped with information from the item. Macee also searches for and adds the conference-specific URL from the IEEExplore Conference Search page located at http://ieeexplore.ieee.org/xpl/conferences.jsp.

The physical format, description, etc. of the IEE Seminar items often changes from year to year. To accommodate such changes, some of the above tags may have to be edited, deleted, etc. once the record is overlaid.

Because these records are added within the E9X account, the holdings for MYG have not yet been updated. Also, to conform to the specifications of the project, the wording in some of the fields added via the “iee” constant data record is purposely more generic than the preferred MIT format. Macee switches to the MYG account to edit the record further. She adds MIT-specific data (including the MIT “get” URL) using the “ieemite9x” constant data record as below, accessible from within the E9X account by choosing Cataloging → Search → Online Constant Data from the Connexion menu:

She also deletes the 856 $z added with the “iee” constant data record, edits the call number field if necessary (or adds the MIT-specific 099 call number), and updates the record in MYG.

Occasionally she has to do original cataloging for an item for which copy is not available. In these cases, she catalogs the item, but consults with Linda regarding classification and subject analysis before the record is updated.
