Dear [speaker],

I am one of the administrative organizers of the seminar series sponsored by the Department of Materials Science and Engineering, the Center for Materials Science and Engineering, and the Materials Processing Center.

In preparation for your upcoming lecture at MIT on Thursday, [date], I would like to ask you for some information about your talk so that we may publicize it.  It would be wonderful if I could receive this information by [date]:

  1. A title
  2. An abstract of 150 words maximum
  3. Any related imagery that could be used for promotional materials (high-resolution images)

Also, please let me know if there are any researchers here at MIT with whom you are interested in meeting on the day of your talk.  We will arrange a meeting schedule for you, as well as a casual roundtable discussion hosted by Edwin Thomas (Materials Science & Eng. department head), and a dinner with faculty members at a local restaurant.

In regards to travel, please let me know the following information:

  • the dates you plan to arrive and depart Boston
  • your preference for arranging flights:  you book the tickets and we reimburse you, or I book the tickets for you

As soon as I have your travel dates, I will book the hotel for you-- we use a lovely boutique hotel that is right on the edge of campus.

If you have any questions about the arrangements, please contact me.

Thank you,
