Some setup needs lead time.  

* For contractors, let finance know they're coming and confirm paperwork in order

* Ask new hire for birth month and day (not year) so account department can generate an MIT ID.  

* Request an account via https://web.mit.edu/accounts/www/guest.html  . Bryan can also do this.  CC new hire on request form so they get the reply with additional instructions. Save the reply from the accounts office; it contains the new MIT ID.

* Tell new hire to expect account email and ask them to finish it and inform you what username they selected. 

* Tell site team about new hire- name,  start date, MIT ID,  username.  Ask for help finding a place for them to sit.

* Get a machine  - see if the department has one available. If necessary to order one, ask Catherine, then ask Bryan for the how-to.

FIRST DAY: 

* For new machine, get the machine on the network. Open web browser; if the machine isn't recognized by the network, it will walk you through authorizing it. 

* Get certificates - http://web.mit.edu/ist/topics/certificates/index.html  - both the certificate authority and the user certificate

* Chat setup:   http://web.mit.edu/ist/topics/conferencing/jabber.html;  ask room owners to invite users.  For ZINC, show them zinc-talk and any project-specific chat room.  Explain ZINC policy of being online when at work.

* Tech time: http://calendar.mit.edu/techtime/index.shtml has a link to self-activate your own account from the start page - goes to http://calendar.mit.edu/register;

* Get access to tools:

Technical: jira,  wiki .  Send email to carter with athena ID, and the names of which Wiki spaces and Jira projects they should have access to. These names can be found on the dashboard pages

In the future - jira will be set up so project manager can add people, no need to bother Carter.  jbowker has (some?) wiki admin privs as well.  

Subscribe them to the appropriate lists for their function or group.  Some of the lists are:

 zinc, zips, project email lists, such is thalia-dev, thalia-support, isda-ops, thalia-ops, and others
