Purpose

The CRE: Work Schedules calendar is used to show CRE Staff when:

  • Staff are working remotely
  • Staff are working on-campus
  • Staff are on vacation

This calendar is displayed on the CRE Reception Kiosk iPad. The purpose is to give a quick overview of who is in the office, who is remote, and who is on vacation for the day.

Usage

CRE Staff should not enter information directly to this calendar, but instead should create an all-day event describing where their physical presence is for that day (remote, on-campus, or out of the office). This should be described in the text of the event (e.g. "Casey Remote"), and should also be set as the status of the event (e.g. "Show As: Working Elsewhere"). Finally, the CRE: Work Schedules calendar should be invited as a participant to your meeting, which will force it to appear on all calendars where this is present. This has two benefits:

  1. If you change your remote day for the week, the CRE: Work Schedules calendar will be automatically updated.
  2. If someone needs to schedule a meeting with you, the scheduling assistant will correctly reflect whether you are remote, on-campus, or out of the office.

Email Address

In Outlook for Android, the directory search function does not work properly however, you can enter this email address directly and the resource will be invited.

Noteworthy Settings (for CRE IT)

  • A retention rule is configured to automatically delete all email >6 months old.
  • Calendars are set to accept meetings which recur indefinitely, although the actual maximum the calendar will accept is 1080 days (3 years).
  • Calendars create an automatic response to users when their meeting is accepted, with a link to the web-published calendar on the crestaff intranet page.
  • Special Calendar Attributes:

    • AddOrganizerToSubject $true

    • DeleteSubject $false
