Tech Squares has two governing documents 

  • The Constitution has policies that are essential to running the club and which are not expected to change. Correspondingly, it is hard to edit. 
  • The Standing Policies, which cover details about the club. These are intended to be looked at frequently (every 3 years), updated, and added to. They should reflect current club policies.

Most of the year

These don't get changed. However, you or others may notice errors in them (such as typos, things that need clarification, etc) and think of things to add to them (new policies, or old policies that should be codified). These notes should be collated somewhere. We're somewhat using Github issues for this.

In the Fall

The President should take a look at which policies are up for renewal. These should be announced to the club for discussion and proposed changes. Additionally, the president should look at the list of desired changes (see above) and announce those. Depending on how substantial changes are, EC or club meetings may be required. 

If policies are getting reapproved with minimal, non-controversial changes, the EC can vote on it. Otherwise, discussion and meetings may be needed, and potentially even a club meeting to vote on it. 

Changing the Constitution

This should be done with care. The main reason to change it will likely be changes required by the ASA. The Constitution specifies how to amend it.
