Notes + Symbols

See this chart to understand notes + symbols on a grade report

There are 2 grading deadlines for each semester:

  • Courses without final exams (this is the earlier date)
  • Courses with final exams (this is the later date)

Graduate P/D/F Option

  • Graduate students may register for a total of no more than one subject per term in which they choose to receive P/D/F grading instead of standard letter grades. P (passing) indicates a C- or better.
  • Departments may disallow P/D/F grading in any of their graduate degree programs. Instructors may also disallow graduate P/D/F grading in the subjects they teach. This information can normally be found in the class syllabus.

Incomplete Grade

  •  If a student receives an I grade, they must complete any outstanding work by Add Date of the next regular term (fall or spring) unless the student receives the explicit approval of the faculty member in charge of the class to do otherwise.

The J Grade

  • If a student is working on thesis and is not going to complete in the current semester, they can be assigned a "J" grade.
  • This indicates satisfactory progress and continuation through the next semester.
O and OX
  • A faculty member may assign an "O" if a student does not complete the course but had not earned an "F." An example would be if someone missed a final due to illness or could not complete a final project due to some unforeseen circumstance.
  • A faculty can also assign an incomplete under the above circumstances.
  • Once an "O" grade has been assigned, the student must petition for an "OX," which is essentially OGE approval of the "O" grade and the circumstances unser which it was assigned.
  • Once the student's grade has been switched to "OX" and the student has completed any missing work, the grade can be updates.

Entering grade for student who has not attended the course

  • If a student is on your grade sheet but has either never attend the course or stopped coming in the early weeks, you can enter a grade of "F." This will open a pop-up asking if the student attend the course. Enter "no."

February Thesis/Grading Process

  • Students who are registered for RED.THG in fall should meet the fall grade deadline (typically sometime in the 3rd week of December)
  • If a student is not going to meet this deadline, consult with their thesis advisor to confirm if they are making satisfactory progress or not.
  • If yes, enter a "J" grade for fall. If no, enter a "U" grade.
  • Students who received a "J" or a "U" will be automatically registered for IAP by the registrar's office. The students do not need to take any action.
  • Student will then submit thesis by the Institute deadline and grades can be submitted by the IAP grade deadline.
