Introduction
After each election, and whenever a student has met the requirements to join the ASA board (as specified in the operating guidelines), they should be onboarded as soon as possible, Ideally this would be done by the secretary, but it is the responsibility of the president to ensure this is done. Some steps can be handled immediately, while others may need the cooperation of other offices at MIT (eg. SOLE).
Engage
With the deprecation of the ASA DB in the late 2010's, the ASA collaborated with SOLE to move most operations onto the Engage platform. Since 2024, however, the ASA has lost a number of administrative privileges on the site, necessitating communication with SOLE to give ASA members privileges either via their liaisons or an email sent to sole@mit.edu.
Admin User
ASA members should be given the Administrator status on Engage, and at minimum, be given [fill in once engage is re-enabled] permissions. This step can only be completed by members of administration (eg. SOLE).
ASA Organization
ASA members should be made officers of the Association of Student Activities group on Engage, enabling them to use Engage forms, emails, and administrative tags. This step can be completed by current members of the ASA.
Google Drive
New members should be added to the ASA shared Google drive. Either their personal or MIT-workspace Google account may be used, at their preference. This step can be completed by members of the ASA, although if none can be reached, IS&T possesses the ability to add members as well upon request and confirmation of affiliation.
