Outlook Updates for International Aid Applications

Hi Team,

I re-configured and updated our automatic messaging and Quick Steps in Outlook, which we use for our international financial aid application processing.

For now please start using quick step: “1st – Send Confirmation” to reply to students within 24 hours and acknowledge receipt of their documents.  We will keep the emails in the International Folder until PowerFAIDS is up and we can start doing data entry.

We will have our annual refresher trainings on data entry later in December/January.  If you want to refresh yourself on the process now though, you can always checkout the training materials in Shared Files.

Policy changes: IDOC & Signature NOT required

Hi Team,

Some changes are coming for financial aid applications that should make things a bit easier for financial aid applicants, and for us.

Policy Change:

Starting with 2015/2016 financial aid applicants (current and prospective) we will no longer require tax forms to be signed.  This is largely due to some changes to the IDOC process…

IDOC changes:

Again, starting with 2015/2016, aid applicants will have the ability to upload their 2014 tax returns to the site.  Most of these PDF documents will not be signed, and we are adopting the practice of accepting them that way.  We are still waiting for more guidance on how the upload process will work for our customers.  For prospective students only:  They can still mail/fax their prior year, 2013 tax returns to us for an estimated financial aid award.  They will need to upload 2014 tax documents once they are filed.

There will be more to come in our financial aid refresher trainings in December and January.  For now, we have updated information on our website and removed the “signature” requirement.  I will be working on updating our current training materials over the next day or so.

Business/Farm Supplement - When we need it

The Business/Farm Supplement is required if and only if SFS specifically asks a student for it.  If the normal CSS Profile questions are answered correctly in the beginning, we will not need to ask for this separate form. 

Questbridge’s website which we all reviewed last week has inaccurate information, and states that all business owners need to submit it.  This is not true, and our website has the correct requiremetns listed for all applicants.

Problems with hiring students

Just a reminder that if a department is trying to hire a student and encountering difficulty even if there is an I-9 on file in MITSIS, the deparement will need to contact VPF Payroll for further assistance.  There is not anything further we can do on our end.

In my experiences, hiring managers are accustomed to seeing a missing I-9 as the error, but if they read the error message more closely, there is actually another issue preventing the person from hiring the student.
