Multimedia Development

  • Final recordings went well.
  • Final audio files received from Matt Russell, but not yet reassigned to all the slides. All recordings have been revised to obtain the proper sound levels.
  • Ken has started to introduce the NEO graphic elements deconstructed by Tom Pixton
  • The NEO web site fonts have been purchased, but not yet installed.

IS&T Update

  • Ranjani states that the IS&T web site will be up on Wed, 8/20.
  • Paul Hill is out on vacation this week
  • We deferred discussion of a Plan B until next week; worst case scenario is to link to the existing site

NEO User Comment Review

  • 67 comments received by 8/12; generally very favorable in tone
  • Complete list posted here: NEO User Feedback
  • We reviewed approximately 10 items in the meeting. Many items required no discussion.
  • Laurie will produce a quick list of changes for Bob to work on in the next day or so.
  • Kath will be able to start drafting request content changes on certain items
  • Laurie, Julienne, Ken, and probably Jackie will review the remaining items on Thursday, 8/14/08
  • We will provide a list of additional items for Bob to implement by early next week.

Milestone & Schedule Update

  • Development
    • We will provide two lists of changes to Bob; one by 8/14 or sooner and one by 8/18 or sooner per above.
    • Bob prefers that content changes come in the form of edits (vs. a complete refresh of the page), and batches of changes are preferable
  • Rollout
    • New employees are informed of the NEO program via a welcome letter. This letter will also refer them to the NEO web site.
    • The NEO site has to go live prior to the first new live NEO program.
    • Tne NEO site is scheduled to go live on 9/03; the first new live NEO program will be 9/16.
  • Possible mini-update in mid-September. Laurie mentioned if there are some important changes that can't be completed by the 9/3 launch, she and Jackie will be able to handle a small update in mid-September.
  • Full Usability Review & Open Enrollment Release
    • We need to start planning now for the full usability review, tentatively scheduled for October.
    • Ken expressed concerns over our ability to incorporate change requests from the usability review in addition to the anticipated benefits changes in time for open enrollment. Laurie agreed. Julienne to scope out the size of the benefits changes and the timing of Open Enrollment.

Follow-up action items

  • Kath - begin drafting content changes as noted in the User Feedback list; provide any completed drafts to Julienne by noon Thursday, 8/14 for review
  • Julienne - follow-up with Benefits on the volumen of benefits changes and the time for open enrollment
  • Julienne - follow-up with various content experts for additional user feedback (see items 49, 50, 60, in the User Feedback list)
  • Laurie- produce quick list of changes for Bob to implement by 8/14 (or sooner)
  • Laurie, Julienne, Ken, Jackie - meet Thursday 8/14 to review unresolved user feedback & any completed drafts from Kath
  • Laurie- produce final list of changes for Bob, with or without updated content by 8/18 or sooner.
  • Laurie- work with Bob on approach to display PDF of the PowerPoint slides for those users who can't run Flash; provide site location to store PDF to Ken
  • Ken - produce draft PDF of PP slides and store on server
